MBDance Seeking Administrative Manager and Personal Assistant

MBDance is a Brooklyn-based, Black and queer centered, multidisciplinary dance company seeking a part-time administrative manager and a personal assistant to the artistic director. + MBDance Administrative Manager

This person is responsible for most of the non-production support for MBDance’s art making, especially external and internal communications, information tracking and management and rehearsal schedule coordination. Adding to and maintaining existing systems for information sharing and organization such as the Google Drive suite of documents and spreadsheets is imperative, as is friendly and punctual email communications. The administrative manager works most closely with the artistic leadership of MBDance, associate artistic director Audrey Hailes and artistic director Maria Bauman. We look forward to working with someone who is experienced in arts administration, who is familiar with the NY-based concert dance landscape and who honors Black artists and culture. 

This role is part-time, at eight hours per week (roughly thirty-two hours per month), and meant to dovetail with the part-time personal assistant role. The compensation is $21/hour. We also offer the administrative manager complimentary access to MBDance classes and workshops. An overview of specific roles and responsibilities is as follows:
 

– Track funder and grant requirements and timelines, including program language about support, final report dates, etc. 

– Communicate with MBDance partners and presenters, providing photos, biographies, W9s and other information in a timely fashion 

– Lead regular administrative meetings with artistic leadership to set priorities, gather information, and agree on next steps 

– Attend company meetings with dancers to stay connected with the art and to track administrative needs attached to company activities

– Manage and organize company administrative files on Google Docs such as company photos for publicity, bios, etc. 

– Send weekly check requests to our fiscal sponsor using template and spreadsheet system

– Contract dancers and collaborators using an existing MBDance template 

– Track and update expenditures and income on the MBDance finances spreadsheet

– Poll dancers’ availability, book and track rehearsal spaces accordingly, in concert with artistic leadership

– Communicate rehearsal schedule, spaces and pertinent info to company dancers and collaborators, including updating and maintaining the MBDance travel and rehearsal calendar in a timely way.

– Draft e-newsletters in consultation with AD and AAD

– Coordinate public-facing projects at times, ie. a fall workshop series

– Update company website with events and project descriptions twice per month 

— Follow up on MBDance payments to ensure our collaborators and contractors received fees from fiscal sponsor, once per month

Compensation $21/hour 8 hours/week + complimentary access to MBDance classes and workshops 


+ Personal Assistant to MBDance Artistic Director

This person assists MBDance’s artistic director with specific ongoing duties that free the AD to focus most of her time on art making. We seek someone with excellent organizational skills, acuity in relating individual tasks to a larger goal, a sense of internal initiative and follow-up. The personal assistant works closely with MBDance’s artistic director, Maria Bauman.

This role is part-time, at two hours per week, dovetailing with the administrative manager role for a total of ten hours per week. The compensation is $21/hour. We also offer the personal assistant complimentary access to MBDance classes and workshops. An overview of specific roles and responsibilities is as follows:
 

– Assist with email tracking and correspondence

– Organize an ongoing list of AD’s Ailey artist-in-residence activities via a Google Doc

– Assist AD in tracking and paying monthly bills

– Input AD’s artistic expenses into an existing spreadsheet for tax purposes

Compensation $21/hour 2 hours/week + complimentary access to MBDance classes and workshops
