Position Description: The Ballet Hispánico (BH) School of Dance Student Affairs Coordinator (SAC) works in close collaboration and partnership with the Registrar under the leadership of the School Manager, drives recruitment & retention efforts, and serves as the co-lead in family communications and support.  The SAC is responsible for growing sales and building enrollment and serves as the lead organizer of the School’s parent/guardian group, Family Conexiones. The SAC ensures families are well informed regarding activities including orientations, auditions, enrollment, enrichment activities, sales/pop-up shops (equipment, dress code, merchandise), and other School of Dance (SoD) events. 

Other principal duties include, but are not limited to, the curation, writing, and dissemination of the bi-weekly School Newsletter, social media posting support, oversight of merchandise/dresscode/equipment inventory & sales, visa support to students, Enrichment activity support, and curating methods of surveying the families to assure an excellent customer service experience. Desired candidates should be strong writers, communicators, sales strategists, well experienced with project management, and have excellent interpersonal skills. The SAC is the administrative support for all School communications and community engagement (students, faculty, alumni), and partners with the Marketing Department to ensure accurate content and program promotion across all platforms and in all communications. 

The School of Dance work week spans Monday through Saturday and requires weekday afternoon/evening hours and Saturday morning/afternoon hours. A full-time position of 40 hours per week with benefits, the School of Dance Student Affairs Coordinator is expected to support all School of Dance performances and events which occur on some Sundays. Please note that scheduling is always subject to change, however Ballet Hispánico makes best efforts to communicate schedules well in advance. 

 

Duties & Responsibilities:

Family Liaison- 

- Co-manage the School Inbox and Phone

- Co-lead the support and resolution of student issues

- Ensure School community is aware of all School activities, programs, registration, performances, auditions, updates, news, etc (ie School closures due to weather, updated deadlines, etc) through the Newsletter, Constant Contact communications, e-blasts, Outlook email, social media, and Google Classroom 

- Curate, write, and disseminate the School’s bi-weekly newsletter

- Develop School community engagement activities

- Oversee SoD Program Information & Copy/Content Accuracy (website, collateral, staff) and communicates/updates Marketing Department 

- Oversight of Bulletin Boards, Slide Shows, and Signage

 

Sales, Recruitment & Retention-

- Enrollment reporting and analytics

- Strategizes, plans, and implements recruitment efforts, including building community partners to grow enrollment in tandem with the SoD Business Manager and Registrar

- Grassroot Contact List Lead

- Develops strategies for retention, including leading the parent committee, building surveys for families, etc

- Leads sales strategy, inventory, and oversight of merchandise, dress code, dress code rentals/swaps, equipment, and other products in collaboration with the Registrar

- Customer Experience - use of surveys and other methods to ensure excellent customer satisfaction

- Support Registrar with Mindbody, enrollment, and transactions

- Support international students with visa paperwork and timeline

 

Other School Responsibilities- 

- Support of Daily School Functions & Events as needed, including but not limited to check-in, Zoom chat, incident reports, observation sheets, and other daily student and faculty support

- Schedule & Prepare Bi-weekly SoD & Marketing Meetings

- Student Handbook Project Lead

 

Essential Skills & Qualities:

- Minimum of two years sales and customer service experience

- Excellent organizational skills, project management, and attention to detail 

- Strong interpersonal skills and collegial spirit with ability to work in a team setting 

- Exceptional verbal and written skills (English and Spanish preferred)

- Ability to create, implement, and monitor budgets and inventory

- Microsoft Office Suite, Google Suite (Google Docs, Sheets, Forms, Classroom), Constant Contact, required

- Mindbody, Vimeo, Canva, and Zoom preferred but not required

- Photo and video editing skills beneficial, but not required

 

Compensation & Benefits:

$50-54k annualized salary (commensurate with experience)
